Activity 1: Change canvas
A change canvas helps you develop a narrative around how, why, when and where your workforce needs to change.
To get the most out of this, draw on any work you did in the early stages of this toolkit.
If you didn’t do the earlier stages, you’ll still do this activity.
How to do this activity
To do this activity, you’ll need:
Change canvas template (PowerPoint, 1.1MB)
Your change canvas will touch on these questions:
- What is the vision for your workforce?
- What is at stake and what are the risks if your business area makes no changes to its workforce?
- What allies will support or help you make changes to your workforce?
- What are the barriers to change or who may resist change in your business area?
- What kinds of resources or investment does your organisation need to make and how can you secure this?
- What can you do quickly to create short-term wins and generate momentum for change?
- How will you maintain rigour in your workforce planning and regularly assess, monitor and evaluate your change to stay on track?
- What does success look like for your business area and how will you know you have succeeded?
Activity 2: Roadmap
The roadmap provides a high-level plan for your change outlining key success milestones for the next 5 years.
How to do this activity
To do this activity and outline key milestones for your business area, you’ll need:
Roadmap example and template (PowerPoint, 1.1MB)
Map your milestones over the next 5 years to create a high-level roadmap for your skills, source, shape, size and site workforce elements.
Your roadmap helps you stay on track when you implement your strategic workforce plan.
Keep it up to date with your kata boards as you progress.
We recommend an annual refresh of the roadmap using an updated STEEP analysis and review of scenarios to adapt your strategic workforce plan to any changes.

Workshop tips for this module
If you run this as a workshop:
- we recommend you review the kata boards once the change canvas has been completed to ensure alignment
- be aware of who is in the room, as you may discuss sensitive topics related to your organisation
- be aware that depending on the nature of your changes, this module may unsettle some participants, such as if the change you need is large and will have a large impact on the status quo.
